Event Assistant Admin volunteer

The Event Assistant Admin Volunteer role is to help with the organisation and planning of events for families and children, supported and bereaved.  It is a role that requires enthusiasm, dedication, flexibility and for the volunteer to be friendly and approachable whilst maintaining boundaries and confidentiality. Location:
Shooting Star House, The Avenue, Hampton TW12 3RA
Time:
Tuesdays and/or Thursdays 10am-1pm (or longer if available)

Duties and key responsibilities

  • In-putting data on to the care database and generating reports
  • Updating the family events outlook calendar and master planner excel document with all event details
  • Organising internal documents on Sharepoint
  • Adding events onto Eventbrite & our website (via Wordpress)
  • Creating planning documents for events with important information
  • Calling and messaging families to request feedback and consents and share images taken at events
  • Messaging families and sharing posts on Facebook to promote upcoming events
  • Event research such as sourcing venues and suppliers
  • Event preparation / take down
  • Storing and organising event items for future use
  • Printing photos for display boards
  • Assist at care events where possible
  • Flexibility required to be prepared to assist in a wide variety of tasks

Essential Skills and experience

  • Basic Excel skills essential
  • Eventbrite experience preferred
  • Attention to detail, especially for proof reading
  • Organised and good at keeping detailed notes
  • Ability to work confidentially and within clear professional and personal boundaries
  • Completion of mandatory training as required
  • DBS checked – all Volunteer roles at our hospices require us to carry out a DBS check at the appropriate level – this is a simple online procedure
